Club Management Processes

Club E-mail Procedures

Student clubs active at our university are required to use the club e-mail addresses assigned by the university in their official communications.

Clubs must use their institutional e-mail addresses in official correspondence and, where necessary, include their academic advisors in the correspondence.

Club Board of Directors

The management of student clubs is carried out by boards of directors formed in accordance with the provisions of the relevant directive.

The board of directors is responsible for planning the club's activities, running its events, ensuring coordination among members and following up the club's administrative processes.

Club boards carry out their activities under the guidance of their academic advisors and in coordination with the Culture Unit.

Club Audit Board

The audit board is responsible for monitoring the compliance of the club's activities, decisions and related administrative procedures with the regulations and the club charter.

Audit activities are carried out in accordance with the provisions of the Student Clubs Directive and the relevant club charter.

Academic Advising

Each student club carries out its work under the guidance of an academic advisor, in order to support the sound conduct of its activities in academic and administrative terms.

The academic advisor contributes to planning the club's activities, linking them to academic aims, supporting student development and ensuring that club work is carried out in line with the university's principles.

Club General Assembly Procedures

General assembly meetings of student clubs are held in accordance with the provisions of the relevant Student Clubs Directive.

At general assembly meetings, the club's activities are reviewed, the necessary decisions are taken and elections for the relevant governing bodies are held.

Clubs must submit notifications of the date, agenda and outcomes of their general assembly meetings to the Culture Unit within the specified time limits.

Change of Club Board

Any changes to the boards of directors of student clubs must be reported to the Culture Unit together with the relevant decision and meeting documents.

Changes are evaluated and recorded in accordance with the provisions of the relevant directive.

Club Closure and Deactivation Processes

Procedures relating to the termination, closure or suspension of student clubs' activities are carried out under the Student Clubs Directive.

The status of clubs that are inactive, fail to fulfil their obligations or are decided to be closed is evaluated within the framework of the relevant regulations.
